This service offering was created to work hand-in-hand with the district’s fixed asset system in order to provide transparency to the data such as the last scanned building location and status details of inventory tracked in TIPWeb-IT. This process allows for the day-to-day asset management, electronic asset audit taking, and assignment of district purchases, which is critical for school operations, financial reporting, and infrastructure planning.
The asset’s purchase order information can also be integrated from the ERP systems’ Purchasing module to either of Hayes’ TIPWeb inventory management software applications for instructional materials and asset inventory. This integration service gives everyone from department leadership, warehouse staff, and school principals a transparent view of newly purchased assets that should be inventoried.
“Integrating with ERP system modules for Purchasing and Fixed Asset Management reduces errors, cuts down on work for our customers, and creates automated workflows,” says Svetlik. “In the end this really helps create a comprehensive and efficient business process for managing assets after the initial purchase and deployment.”
These services have already been beneficial to administrators and staff at school districts around the country such as Houston Independent School District, who is using SAP, and Prince George’s County Public Schools, using Oracle PeopleSoft. These integrations enable campus inventory managers and principals to have real-time knowledge and control of the assets on their campus, know where these assets are located, and to know whether the assets are available for use. Furthermore, administrators, teachers, and students can be held accountable for all equipment assigned to them or located in their classrooms.
In order to determine the scope and goals of an integration with TIPWeb-IT, Hayes Software System performs a discovery and needs analysis where the Hayes’ consultants and Business Analysts lead district stakeholders to define key aspects of the integration which includes data fields, frequency and direction of data movement, and unique business processes.
